Privacy Statement

Kingston Voluntary Action is the infrastructure body for the voluntary and community sector in Kingston upon Thames.

This Privacy Statement sets out how Kingston Voluntary Action (KVA) obtains, stores and uses personal information.

 

What we collect and why we collect it

KVA will collect personal information from you when you or your organisation access our services, attend our events or subscribe to one of our mailing lists.

This may include your name, title, organisation, job title, email address, physical address, telephone numbers.

Your personal information will be stored for KVA monitoring purposes when you engage with our services, such as receive advice from us or attend our events. We shall also record what specific support need you had, for example, you came to us for funding advice for a new project. This helps us show our funders the work we have been doing, and ensures our services meet the needs of local VCS groups.

 

Mailing Lists

If you give consent we shall also use your information to contact you through our mailing lists. You will be given the option to ‘opt in’ for each individual mailing list and we shall be clear about what communication you will receive from this. You will always have the option to opt out in the future.

 

Your rights over your data

You have control over the data KVA holds on you. If you wish to see what data KVA holds, amend the data about you that KVA holds, or would like data we hold on you deleted, please e-mail us at admin@kva.org.uk. We aim to process your request within two weeks.

 

Security

KVA works hard to keep your data safe, to the best of our ability – preventing the loss, misuse or alteration of information you give us.

We try to keep all information up-to-date and accurate, but can always use help. If you move job or change your email address, please let us know!

KVA shall only share your information with other organisations if you give us your consent.  For example, if everyone who is part of a networking group wishes to share their details with other group members, and gives their consent for this.

We shall never sell your details.

 

KVA Public Directory of Local Groups

KVA maintains a Public Directory of local groups. This information is stored on our Simply Connect Database and certain fields are then made public. This includes some basic contact information. 

 

Third Party Data Processors

KVA uses third party providers to help deliver certain elements of our service. When using a third party provider, we carry out reasonable Due Diligence checks, such as checking their Privacy Policy.

KVA primarily stores service user personal information on our password protected online CRM system called Simply Connect.  You can find their Privacy Statement here. We also use this system to send out emails to our Network group lists.

We store names and emails of those who sign up to our e-newsletter in our Newsletter provider, Mailchimp, which is based in the US. You can see the Mailchimp Privacy Policy here and a document that they prepared explaining how they intend to be GDPR compliant here.

We do our event booking through Eventbrite and shall hold attendee information on the system, including your personal details and accessibility requirements. Eventbrite’s Privacy Information can be found here.

KVA has an agreement with The National Lottery Community Fund. Kingston Covid-19 Grant recipients’ personal data may be shared with The National Lottery Community Fund as outlined in an agreement between Kingston Voluntary Action and The National Lottery Community Fund. Website

Our website is built on the e-Voice platform. You can find out further information about Voice’s use of Cookies and their Privacy policy. We collect some information via web forms, where submission data is securely emailed to us. We also use Google Analytics to track site usage (anonymously) to inform future improvements of the website e.g. making information easier to find.
